JOB PURPOSE:
The Project Coordinator supports the planning, execution, and delivery of projects by coordinating tasks, resources, and communication among stakeholders. This role ensures project timelines, documentation, and reporting are maintained accurately and efficiently. The coordinator plays a key part in keeping projects on track, within budget, and aligned with company standards.
KEY ACCOUNTABILITIES:
- Assist in the planning and execution of offshore projects.
- Coordinate with internal teams, contractors, suppliers, and regulatory authorities to ensure timely delivery of materials and services.
- Control and manage project relevant documents.
- Create and maintain intercompany ERP system.
- Issue PO and invoices to job partners.
- Assist communication with contractors, suppliers under responsible project manager, project engineer or repair manager.
- Maintain comprehensive project documentation including permits, schedules, progress reports, and status updates under responsible project manager, project engineer or repair manager.
- Travel coordination of manpower mobilization, such as travelling documents, flights and accommodation etc.
- Check and prepare required site attendance documents to dispatch crews onsite.
- Ensure full compliance with safety, health, and environmental regulations.
- Check and edit project completion documents including expense evidence to issue draft invoice.
- Support budget tracking activities and assist with invoice verification and cost control.
- Support logistics planning, especially around marine equipment handling and mobilization.
PERFORMANCE INDICATORS:
- Accuracy of project documentation and reporting
- Timeliness of logistics and manpower arrangements
- Compliance rate with HSE and project standards
QUALIFICATIONS, EXPERIENCE & SKILLS:
Minimum Qualification:
- Diploma in Engineering, Project Management, or a related technical field. Equivalent technical certifications combined with relevant experience may also be considered.
Minimum Experience:
- 2-5 years of experience in project coordination or a similar role, preferably in engineering, marine, oil & gas, or industrial sectors.
General Skills:
- Ensures accuracy in documentation, reporting, and communication to minimize errors and maintain project integrity.
- Skilled in using project management and documentation tools such as MS Project, Primavera, document control systems, and the full Microsoft Office Suite (especially Excel and Word).
- Flexible in adjusting to shifting priorities, dynamic project scopes, and unexpected challenges.
- Works effectively in cross-functional teams, supports colleagues, and fosters a collaborative work environment.
- Strong written and verbal communication skills to ensure clear coordination with internal and external stakeholders.
- Maintains confidentiality and demonstrates professionalism when handling sensitive information.
